MSF Service

The Clarity Doctors MSF application is a specialised data collection system designed to simplify the process of obtaining colleague and patient feedback for the purpose of appraisal and revalidation.

The tool uses questionnaires based on the GMC recommended survey. The feedback questionnaires ask recipients to offer a response about various aspects of the clinician’s practice, including a number of statements relating to the recipient’s view of the clinician’s confidentiality and abilities. All responses remain anonymous and recipients are reminded not to give any information that could allow the clinician to identify them.

The Clarity MSF application covers two distinct categories:

  • Peer/Colleague
  • Patient

Peer Feeback

Clinicians can send electronic feedback requests to their colleagues using the online e-mail system. The emails contain links to online questionnaires which can be filled out at any time, and once submitted the results are held in the Clarity database until the cycle is complete (reaching the required number of responses and containing a self assessment questionnaire completed by the clinician).

Clinicians are required to complete an electronic self assessment questionnaire containing the same questions their peers are asked to answer. This allows a direct comparison of their views to highlight any areas the clinician should work towards improving in the coming year that they had not initially considered.

Clinicians can resend requests to non-responsive recipients (up to three times once every seven days), encouraging completion of questionnaires, and ensuring peers can complete feedback if the initial requests are lost through spam filters due to their email settings.

The electronic system has the capability to monitor number of responses in real time, allowing clinicians to view how many recipients have responded, and how many recipients have opted out of completing the questionnaire.

A report is generated upon cycle completion (including completion of self assessment questionnaire) showing anonymised responses, allowing feedback to be attached to chosen appraisals for review by the allocated Appraiser and organisational Appraisal Administrator(s) and Responsible Officer(s).

Patient Feedback Options

There are two possible options either, we print and send you paper questionnaires, or you print the questionnaires.

You Print – exclusive to Patient Feedback (£28+VAT)

This new offering allows clinicians to download and print their own Patient Satisfaction Questionnaires.

This faster process allows clinicians to have access to their questionnaires from within their PSQ cycle as soon as payment has cleared.

We provide an A4 questionnaire PDF template and a Large Print option.

We also provide a Freepost returns label.

We Print (£35+VAT)

Clinicians can collect patient feedback using our paper-based system.

If your organisation has approved use of our paper-based system, clinicians can order/purchase a paper pack from us containing everything needed to collect the required number of feedback responses.

If we print the questionnaires, then paper packs will be delivered to the supplied address within 5 – 7 working days of payment/order and contain:

  • 1 x Set of distribution instructions
  • 45 x Normal print questionnaires
  • 5 x Large print questionnaires
  • 1 x Large Freepost envelope addressed to Clarity Informatics

Responses received will be dealt with under terms of NHS information governance by our in-house data input team.

Once a completed questionnaire pack is received, it will be added to the Clinician’s cycle within 10 working days.

Feedback from patients can be collected using the electronic system, the paper based system or a combination of the two. The results report is generated the same way regardless of the system used.

Clarity will not input any photocopied questionnaires into a MSF cycle.

All MSF settings are under Appraisal Administrator control for each organisation, and can be altered at any time as they see fit. This may lead to alterations in availability of Paper based Patient feedback and the number of required responses to complete both peer and patient feedback cycles.

MSF Data and Security

All data sent to us (either electronically or paper) is collated and uploaded according to the highest standards of data security and GDPR.

We adhere to Caldicott Principles and the Data Protection Act regulations.

We do not store any identifiable patient or peer data. All patient and peer data is destroyed according to NHS standards, once it has been uploaded to your portfolio.

It is not possible for us or you to trace back any individual patient or peer response once it has been sent to us.

We will not amend, revise or otherwise change any of the information provided to us by peers or patients.
