Job purpose:
Registration Advisors provide dedicated and expert support to clients
throughout the entire registration process. This includes, but is not
limited to, assisting clients with the initial registration setup, addressing
inquiries, troubleshooting issues, ensuring smooth navigation of the
registration system, and guiding clients to completion. They will work
closely with internal teams to ensure an efficient, user-friendly
experience, while maintaining the highest standards of customer service
and data accuracy. By providing proactive, responsive, and
knowledgeable assistance.
You will be responsible for:
Regulatory Guidance & Client Support
• Provide tailored, accurate advice to members on registration
requirements for new or existing practices, ensuring full
understanding of their obligations.
• Guide clients through each stage of the registration process with
healthcare regulators (e.g., CQC, RQIA, HIW), ensuring a smooth
and informed experience.
Case Management & Documentation
• Manage registration cases from initial enquiry through to successful
completion or practice opening.
• Coordinate the preparation and distribution of application paperwork
according to the specific type of registration required.
• Liaise with clients, agents, or legal representatives in sale and transfer
scenarios to confirm all regulatory applications are appropriate and
correct.
• Follow up on outstanding registration contracts to prevent delays and
ensure case continuity.
Information Gathering & Application Completion
• Proactively chase clients for outstanding documentation, including DBS
checks, ID, references, and other supporting evidence required for
submission.
• Ensure applications are completed to a high standard, accurate, and
fully compliant with regulatory expectations.
• Monitor and update internal systems to reflect the real-time progress
and status of all applications.
Regulatory Assessment Support
• Provide pre-assessment guidance to clients, including the coordination
of documentation and confirmation of practice readiness.
• Liaise directly with inspectors on behalf of clients when required,
ensuring clear communication and accurate representation.
• Conduct registered manager training sessions to help clients prepare
for interviews and regulatory assessments with confidence.
• Carry out virtual site visits for new practices to assess readiness and
identify potential gaps prior to inspection.
Collaboration & Communication
• Work closely with internal teams across DCME and Agilio to ensure
collaborative handling of registration cases and seamless information
sharing.
• Maintain effective inbox management, ensuring timely responses to
enquiries and consistent communication with clients.
• Undertake ad hoc administrative and support duties as required,
contributing to the smooth operation of the wider registration function.
The skills and experience which we are looking for in our
Registrations Advisor (DCME) – Dental (FTC) are:
Essential
• Knowledge of regulatory registration processes and application
submission (e.g., CQC, RQIA, HIW) and willingness to learn quickly
• Understanding of compliance requirements within a dental setting
• Case management and documentation handling experience
• Strong communication skills (written and verbal)
• Excellent attention to detail and accuracy
• Strong organisational and time-management abilities
• Competency with Microsoft Office and internal systems (CRM/Case
management tools)
• Ability to handle sensitive/confidential information professionally
• Proactive and responsive approach to problem -solving
• Customer-focused with a service-oriented mindset
• Ability to work both independently and collaboratively in a team
• Resilience under pressure and ability to manage multiple cases

• Experience delivering virtual training or presentations

This is a full-time role, based at home or in the office
